Associate Media Planner/Buyer

The Associate Media Planner/Buyer is responsible for developing the media strategies and media plans for clients with the Media Planner/Buyer on the team, if there is one and the Media Director. This includes the research, selection, negotiation, and ordering of space and time. The Associate Media Planner/Buyer maintains contact with media advertising representatives, and takes all telephone calls from media representatives, gathering any information required.

The Associate Media Planner/Buyer plays a vital role in research and marketing.  The Associate Media Planner/Buyer conducts media, industry or company research to allow the agency to develop an accurate strategic advertising and marketing plan for the client. The Associate Planner/Buyer plans and places all clients’ projects, establishes appropriate media and budgets for clients, and builds good working relationships with media reps. The Associate Media Planner/Buyer attends to all administrative functions and paperwork required to carry out assigned media functions.

The Associate Media Buyer Planner with the Media Planner/Buyer and the Media Director is responsible for maintaining a company library of current publications, and current media kits (computer based if possible) and periodicals for the industries or to the target markets the agency serves.

 

The Associate Media Planner/Buyer reports to the Media Director and is responsible for:

Working as needed with agency clients when necessary to justify media execution.

Making recommendations to develop media process/procedure when necessary.

Reviewing marketing and media strategies of all clients on a weekly basis.

Support new business opportunities in conjunction with the New Business Specialist, and provide support and plans for prospective clients.

Overseeing the preparing of media plans for assigned clients based on briefing from Account Service.

Negotiating and preparing media contracts.

Overseeing the preparing of media schedules and keeping schedules current. Advises account team of changes in requirements and costs.

Managing and establishing deadlines for required materials (creative assets i.e. commercials, print ads, mailers, digital audio and video, banners, etc.) and reporting closing and material deadlines to the Creative, Production and Account Services departments.

Overseeing the preparing of media cost estimates and managing the revisions as required when changes occur to rates or other material aspects of the plan.

Overseeing the booking of media space and issuing Insertion Orders, Insertion Cancellations and Media Change Requests, plus distribution of copies of orders to appropriate departments for assigned clients.

Managing the timely placement of all media according to schedules for assigned clients. Coordinating with Account Executives to be sure material deadlines are met.

Overseeing the reviewing of tear sheets to determine if publications have run correct size, position, color, etc.

Managing the issuance of agency media reports when requested.

Overseeing the maintaining of all resource and media files, updating constantly. Constantly maintains media, client and tear sheet files.

Managing all post analysis on media with Account Service– lead, cost or conversion analysis.

Managing all direct mail programs for assigned clients.

Preparing media cost estimate for assigned clients and revising them as required when rates change.

 

Accountabilities

Available and willing to work full-time within business hours, weekday 8:30a-5:00p. No travel.

Day-to-Day Agency projects are completed in a timely manner.

Troubleshoot to determine problem projects on a weekly basis.

Managing the planning and placements of all clients’ projects, establishes appropriate media and budgets for assigned clients, and builds good working relationships with media reps.

Managing the development of the media strategies and media plans for clients. This includes the research, selection, negotiation, and ordering of space and time.

Keep organized hard and soft copies of relevant plan documents including billing information. Must be at ease working with math and possess competency in Microsoft Excel & Office.

Managing the maintenance of contact with media advertising representatives, and takes all telephone calls from media representatives, gathering any information required.
